Set up Pro features
Files: ensure all PDF documents (policies & procedures) are uploaded and shared with the employees you want to be able to use Ask BambooHR
Ask BambooHR: Add your documents that you uploaded to Files.
Only pdf files shared with employees can be used with Ask BambooHR.
Only employees who can view the file can get information through Ask BambooHR
You can share files to all employees, access level groups or specific employees
Suggestion: Have a folder in Files called Ask BambooHR so you know which ones are shared with that feature.
Double check that your file does not include personal information.
Homework:
Set up Time Off, Benefits, Holidays, and Directory in Settings
Pro Package: Upload helpful documents to the Files tab
Upload Files
Click Add Documents in Ask BambooHR Settings
You will only see PDF documents uploaded to Files. Click Add Docs when ready.
To remove document, hover over document and click the grey X
Click the Preview button to test the feature before going live.
Test both Core and Pro options if available.
Ask some of the questions from the worksheet from the previous session.
Click Turn of Ask BambooHR when ready
Ask BambooHR will not share information that they wouldn’t be able to view in their account.
You can view
Takes several minutes to process the document(s) but you don’t have to stay on the screen until it is complete.
Preview Ask BambooHR before you Turn on.
Type a question in the box and wait for a response.
Note, the Assistant will provide an answer. If using documents, it will also include a source that links directly to the document. (Pro package only)
If response in found in the system, it will not give a source
Eg. who is EE’s manager?

If you do not have access to information, system will say, “I’m sorry, I’m unable to help with that.”

We have employees in multiple countries. Can you please explain how Ask BambooHR limits information to certain employees? For ex: sick time questions, different countries have different sick time policies. We are on BambooPro.
Great question! Ask BambooHR is only able to answer questions regarding data that the employee has access to - if the employee doesn’t have access to it, Ask BambooHR will not be able to provide answers about it. So it would only be able to answer questions about the specific time off policy they’re assigned to.
will the system recognize the employee's location when they are asking HRIS questions?
The system is able to answer questions about HRIS data that the employee has access to based on their access level settings - not necessarily based on the Location that they’re assigned to. If you have the Pro Package, it will also be able to answer questions related to Files that have specifically been shared with that employee.
So if a US employee wants to see their holidays, it would show them all holidays, including holidays for other countries?
It will show only their holidays.
Is anything included with the advantage package? Can I ask why it isn't available under the advantage package?

Is Ask Bamboo available on the app?
Yes - employees are able to use Ask BambooHR within the mobile app! :)
Yes! Ask BambooHR is available in the mobile app - so as long as you’ve enabled it for your employees in Settings > Ask BambooHR, employees can access it via the desktop or mobile versions of BambooHR! :)
It is available in the core package which is a lower package?
Yes - Ask BambooHR is available in the Core Package. With the core package, employees will be able to ask questions about HRIS data that they have access to. With the Pro Package, they would also have the abililty to answer questions about documents that have been uploaded to Ask BambooHR. :)
will the AI function have relative information that is Country based?
Great question! Ask BambooHR is only able to answer questions regarding data that the employee has access to - if the employee doesn’t have access to it, Ask BambooHR will not be able to provide answers about it.
How can I be sure that no personal information is being shared?
Ask BambooHR is only able to answer questions about data that the employee has access to
Similar to how their access level restricts their access in the system. If you have the Pro package, we recommend that you do not upload documents that have personal identifying information to Ask BambooHR.
Using the timesheet functionality, how do non-exempt employees log their lunch breaks?
Currently, our Time Tracking feature doesn’t have a “Schedule” where an employee is able to record a lunch break - they can clock out before lunch, and clock back in after lunch, but their timesheet would just show a gap for that lunch break period. They could also add an note to the clock in/clock out entry indicating that they are “Clocking Out” for lunch and “Clocking In” from lunch.
Thank you! Logging lunches are a compliance need. How quickly would BHR be able to put in an enhancement to allow lunch breaks as a timesheet option? (With the ability to show paid vs unpaid lunches.)
Do the reference documents referenced in Ask BambooHR need to be shared with all employees?
The document will need to be shared with at least one employee before it can be uploaded in Settings > Ask BambooHR.
Employees will only be able to receive answers regarding documents that have been shared with them. :)
Do we have to have files shared w/employees for the Preview to work?
Yes - the file you want to upload in Settings > Ask BambooHR needs to be shared with at least one employee in the Files tab before it can be uploaded to Ask BambooHR. If you just wanted to test the feature first, you could share the file with yourself (or other admins) only to have the ability to upload the file in Settings > Ask BambooHR.
When I change a file's setting to share w/employees, do they get a notification that a file has been shared with them? If so, is there a way to turn that notification off so it doesn't confuse people?
Currently there is not an email alert that’s sent to an employee when a file has been shared with them from the files tab! :)
Can it answer questions based on documents they have signed, such as a handbook, its not shared, its a signed document that they have.
No, not at this time. It will only use company documents that have been added.
In the case that our policies are not very clearly written, or may have different policies for different sets of employees, how does ASKBAMBOO ensure that the response is correct and not a “hallucinated” one
That’s a great question. Ask BambooHR is an AI and answers should always be double checked, but one of my favorite things about the system is that it will link to the document that it is pulling from with every answer. So it is easy to click into the document and double check if needed.
What if we don't plan to track benefits and PTO in BambooHR? What response system will give in this case?
The data has to exist within BambooHR - if you are on the Core package and don’t have benefits or PTO configured within your account, then Ask BambooHR would not be able to answer questions about it. However, if you are on the Pro Package, you can upload files in Settings > Ask BambooHR that contains this information so that employees can ask questions about it :)
What response will the system give if it can’t find an answer?
“Sorry, I am unable to help with that.”
Can an employee ask compensation/pay questions on other employees?
They will only be able to ask questions/receive answers regarding data that the employee has access to. If they don’t have access to it in their access level settings, they won’t be able to receive answers about it when asked. :)
Our holidays have different variation based on the country (i.e: KL - Independence Day, UK - Easter Monday). how does this work in the AskBambooHR?
Great question! Ask BambooHR will respond based on the user asking the question. If it is a holiday for them, then it will respond accordingly.
Are we able to test how it works before making it live to the employees
Yes! Prior to launching the feature for your employees, you can test it as an admin in
Settings > Ask BambooHR by clicking the “Preview Chatbot” button :)
If you have information filled out in the benefits portion in the settings and more details in the benefits booklet, will Ask Bamboo use information from both resources
Information will be taken from website, with a link to the pdf documents.
My company policies are already in the files tab, do I need to upload them again in "Ask BambooHR".
Nope. So long as they are documents that are shared with all employees, you can then add them to be referenced by Ask BambooHR. No need to upload them a second time.
You just need to reference them in the Ask BambooHR settings.
If the file is already in your "Files", does it need to also be in Ask BambooHR Files as well?
That’s a great question! So long as the file is shared with all employees you can add it to the policy documents in the Ask BambooHR settings and you’ll be set!
Does AI leverage custom roles permissions to validate only authorized info is shared or only standard Employee and manager permissions?
Yes - similar to how access levels determine a users access in the system, Ask BambooHR is only able to answer questions regarding data that the employee has access to. :)
We have two different benefits providers, pending the employee’s region. Is it possible to limit the information for both based on eligibility?
Employees will only be able to receive answers about data that they have access to - so if they’re only assigned to a specific benefit plan, they will only be able to receive answers regarding that specific plan. :)
If we use another platform for our benefits, can Ask BambooHR be set up to reply to employees with "Please go to xyz for that answer."?
If you have the Pro Package and upload a file in Settings > Ask BambooHR that mentions this, then yes, they could be prompted to do that!

Currently, Ask BambooHR can only pull information from documents that have been uploaded specifically to Settings > Ask BambooHR.
Outside of that, it can answer questions regarding the employees time off tab, benefits tab, and the company directory/calendar.
I have everything on, however in the files, the ABHR folder is not there.
When uploading files in Settings > Ask BambooHR, you will only be able to upload files that have been shared with at least one employee. If the File(s) have not yet been shared with at least one employee from the Files tab, it cannot be added to Ask BambooHR.
Will questions be answered from any folder under files or do we need to have an "ask bambooHR Files" folder?
They need to be uploaded specifically in Settings > Ask BambooHR :) Once uploaded, employees will be able to ask questions about any document that has been shared with them and uploaded to Ask BambooHR.
Can documents be shared based on country or location ?
Documents in the Files tab can be shared by the name of the employee, or the name of the access level they’re assigned to. It is not currently possible to share it by country or location.
If the files already exist in another area (like Benefits) do I need to also save them in Ask BambooHR Files? Or will it pull the information from the Benefits plans?
It will pull some information like enrollment details from Benefits, but if you need to answer more complex details, then having that information in a document will be needed.
Our employee handbook is hosted on another website that has a bambooHR integration. Can BambooHR access this, or will I need to add a PDF to files?
The file would need to be uploaded in Settings > Ask BambooHR for it to be used as a source of data within Ask BambooHR :)
Our Benefits Guide is on the home page under Company Links. Will Ask Bamboo search this or do I need to create a pdf to share with employees?
The pdf must be located in Files and selected under the Ask BambooHR settings.
It will only search the documents you tell it to access in settings. So you will need to create a document with that informaiton and upload it to your files in BambooHR
How do I create a table field in the job section for the employee profile? We have to track travel time for our employees.
You can create a custom table in the job tab of the employee profile by going to the My Info tab, then under 'More', click on Customize Tabs. Please also check out this Help Center article for more details https://help.bamboohr.com/s/article/587329#add-a-custom-tab-1
Can we just provide a link for the specific policy that the employee is asking instead of the pdf files?
Ask BambooHR references data from the employees time off tab and any documents that have been uploaded in Settings > Ask BambooHR that the employee has access to. With that being said, Ask BambooHR is designed more to provide a written answer to their question rather than just a link to the policy itself. However, if Ask BambooHR does provide an answer that references a specific document, it will list that document as a source of information below its answer. :)
Must the documents be in PDF format only? I have a few Word documents that did not show up on the list to add.
Yes - currently, it is only possible to upload .PDF files in Settings > Ask BambooHR.
Can we add links to the Intranet when a question is asked? For example: Q: Where can I find the employee handbook? A: Link to Intranet directly to the ee handbook.
When Ask BambooHR provides an answer (pulled from a document), it will provide a written answer as well as a link to any related resources it used to get that answer. :)
Will you be going over The Conversation Log Download at the next session?
We will be covering this next session. The conversation log allows you to see the questions and answers via Ask BambooHR at your company so you can refine the information if needed.
Is AskBambooHR able to differentiate answer based on employment status? (i.e: contractors, full-time, part-time, intern)?
It depends on the question and how it is asked, but the system tends to answer more generally. So if you ask about PTO policy, and you have a different PTO policy for full-time, part-time, and intern, then it will likely give the employee all three pieces of infromation so they can differentiate it themselves and then give them a link to the doc that it pull the information from.
Files for Ask BambooHR are duplicates of other files? or is it okay to just pull from other file folders?
Files that you uploaded in Settings > Ask BambooHR are pulled from the files tab - you can only upload files that have been shared with at least one employee from the Files tab first :)
Is there a way to upload links to information in Ask BambooHR? For example videos. Also to ensure the system always has the most up to date information, is there a way to link to documents in Teams for example?
You’d have to upload a file in Settings > Ask BambooHR that contains that information if you want it to reference that as part of an answer to a question! :)
My BambooHR doesn't have the ASK button on the top right. How do I go about it?
That button won't show up unless you're on the Core and Pro plan and have Ask BambooHR set up. So if you're not seeing it then you probably don't have it set up yet.
Can you turn on Ask BambooHR for a limited number of employees to test it before rolling it out to the entire company?
Currently you can only turn it on for all employees or none. However, you can always preview it in settings before rolling it out.
Will Ask BHR use files in other folders besides “Ask BambooHR Files” folder?
The file has to uploaded to Filed before it can be selected in Ask BambooHR settings.
If I upload a contract in files, can employees also see it when they ask questions?
Before you can upload a file in Settings > Ask BambooHR, the file needs to be uploaded to the files tab and shared with at least one employee. Because the file would be shared with them (in order for them to be able to ask questions about it), they would be able to access that document itself as well as asking questions about it within Ask BambooHR :)
Will ASK BambooHR check all documents in "Files" when asked a question?
It will only check the documents that you have added in the Ask BambooHR settings.
Can ask BHR tell employees where to find documents that they have signed?
The response should include a link to the document so they can access the document right from the chat. However, all documents are found in the Files tab.
We have a US and EU handbook - how does the system know where the employee is located?
The system uses the information on the employee’s profile to determine where they are located and which file to use.
Are ask HR BambooHR available to answer French questions? Ask Bamboo works only in English? If someone ask in Spanish it responds in English? does it accept documents in Spanish and English?
That’s a great question. If an employee asks a question in another language like spanish, it will respond in spanish.
Does Ask Bamboo recognize other languages (French, German, Spanish) if employees ask questions in other languages?
Yes - if employees ask a question in a language other than English, Ask BambooHR will send a response in the same language that they used to ask the question! :)
How does BambooHR work when the doucments are in French or in multiple languages?
Ask BambooHR is available in multiple languages - so if an employee asks a question in a specific language, Ask BambooHR’s response will use that same langauge for the answer provided.
If an employee asks a question in English regarding a document that’s in French, the answer will be provided in English since that is the language used by the employee to ask the question.
Is there a list of languages or any? Specifically would like to inquire about Serbian
Yes - BambooHR currently supports the following languages:
English

Does AskBamboo go to the source document every time a question is asked? Or does it archive its answers? Real world example, if we change a benefit for a new year and upload new benefit docs, will AskBamboo go to that new source document?
Yes! When Ask BambooHR provides an answer from a file, it will link that file at the bottom of the answer to identify the source it came from. If you upload new versions of a document, you can delete the prior version from Settings > Ask BambooHR so that it only references the new version.
Does Ask BambooHR have the ability to reference or include instructions that are captured as part of onboarding or offboarding tasks OR do we need to capture the information into a PDF document located in files?
It would have to be contained within a File - Ask BambooHR can answer questions about an employees time off tab, benefits tab, company holidays, etc but not onboarding specifically unless that information is contained in a file you’ve uploaded in Settings > Ask BambooHR.
I tried to allow only some of our employees to access one of the Policy handbooks but it does not allow us to add by divisions and there wasn’t enough room to include everyone individually. Is there a better way to do it? We have two sets of employees with different handbooks and policies.
When you share a file from the files tab, it can be shared by the name of the employee, or by the name of the access level they are assigned to. It is not currently possible to share a file based on a Division that an employee is assigned to.
You could have a different access level for each division
Is there a way to share documents based on department / location, rather than access level? or is there a way to automatically assign people to a group based on their department/location.
Currently, when you share a File from the Files tab, it can only be shared by the name of the employee, or the name of the access level they are assigned to. It is not currently possible to share the file based on the Department or Location they are assigned to. This guide has more information:

You’ll want to go to your files tab first and make sure that the PDF is shared with all employees. If it is, then when you go to your Ask BambooHR settings, you’ll be able to add it by clicking the “Add Documents” button.
Will employees be able to access the Files folder when they're given the Source link or does it just download the document for them?
If the employee has had a file shared with them from the Files tab, that would give them access to the Files tab. However, they’d only be able to view files that have been shared with them from that tab - they cannot view a file there unless it has been shared with them.
The link that’s included at the bottom of an answer provided by BambooHR can be clicked on by the employee, which will take them directly to a preview of the document. It is possible to download the document from this preview page if needed!
How much does it cost to upgrade from Advantage to Pro?

The employees will only get information on time off policies that they are specifically enrolled in, correct?
That is correct, yes! It will only be able to answer questions regarding time off policies that they have access to.
What if documents have conflicting information, e.g. if one is outdated. What answer will be returned?
If you have multiple versions of a document, Ask BambooHR will reference each document to provide an answer. If you have new versions of a document, it’s best to remove the prior versions from Settings > Ask BambooHR if you only want it to reference the information in the new version of the document.
Is there a way to get a report on the questions that have been asked? To see what kind of things employees are asking, helping us to determine what resources we might be missing?
Yes! In Settings > Ask BambooHR, you can click “Download Chat Log” to view a history of all questions and answers that have been provided within the Ask BambooHR interface. :)

You’ll want to go to your files tab first and make sure that the PDF is shared with all employees. If it is, then when you go to your Ask BambooHR settings, you’ll be able to add it by clicking the “Add Documents” button.

Is there a Zoom integration like the Slack integration?

For microsoft - can the calendars link so 1:1 scheduling will apprear in both places
The only Microsoftintegration that is currently built is for Single Sign-On Microsoft Single Sign-On - BambooHR Marketplace | Your Favorite Integrated HR Apps
However, BambooHR does have an open API, so if you have techinical staff, they might be able to build an integration for you. Getting Started With The API

How does BambooHR AI work with performance reviews?
Ask BambooHR is not currently able to answer questions related to the Performance feature
If someone requests a form will it send it to them?
An employee can only ask questions about a file if it has been shared with them - if the file hasn’t already been shared with the employee, it’s not possible for the employee to request information from that file.
How can I get the system to read the company organogram? I tried adding one but it could not pick the document up (I did upload it as a pdf).
Ask BambooHR is only able to reference text information - it wouldn’t be able to reference images to provide answers via Ask BambooHR.
As long as the file has been uploaded to the Files tab, shared with at least one employee, and uploaded in Settings < Ask BambooHR, it can be used as a reference to provide answers :)
Can I give access to some employees to view the Conversation log?
No, at this time, only Full Admin users can view the conversation log.
